Sample acceptance and service terms

On this page, you will find essential information regarding the reasons for rejecting samples and the procedure for clarifying test report data. Sample reception locations and opening hours can be found via a separate link.

Locations and opening hours for sample reception points can be found HERE.

A laboratory may reject samples and thereby also refuse to handle the samples in the following cases:

  1. the sample arrived in the laboratory so late that it cannot be analysed pursuant to the applicable requirements;

  2. the sample has been contaminated due to damaged packaging or another reason (melted, higher temperature than required);

  3. the amount of the sample is insufficient for the analysis/test ordered;

  4. the sample exhibits obvious signs of spoilage;

  5. the sample is not accompanied by a cover letter;

  6. the cover letter is filled out insufficiently (does not specify the indicators to be determined or the tests ordered) or illegibly;

  7. the previous invoice of the customer is overdue.

In the case of discovering the circumstances included in the list, the laboratory will contact the customer (by phone or in writing, if necessary) and notifies them of the shortcomings detected.

To ensure the accuracy and transparency of test reports and to provide a smooth service, LABRIS will introduce a new procedure for making technical corrections to test reports, effective from 1 April 2026.

Only technical errors may be corrected in test reports (e.g. typographical errors, incomplete customer details, or other inaccuracies in the order information that do not affect the analytical results).

Please always review the test report as soon as possible after receipt. If you notice a technical error in the report, you must notify us within 5 working days from the report issue date. Within this period, we will make the necessary corrections free of charge. To request a correction, please reply to the email by which the report was sent to you.

From the 6th working day onwards, any actions related to corrections will be chargeable in accordance with the current price list (LAB03032 “Amendment of a test report”, fee €9.68 + VAT).

Amendments can be made within 6 months after the report has been issued. After six months, the report will no longer be amended.

The following items are NOT subject to amendment:

  • product name;
  • sample batch numbers (except in the case of a typographical error, e.g. a discrepancy in a digit);
  • test results and measurement values;
  • dates of analysis.

This procedure for clarifying and correcting test report data is based on the requirements of ISO/IEC 17025:2017, under which the purpose of all changes and clarifications is to ensure the traceability, integrity, and reliability of data.
